What we record

When you create an account or register someone for a class, we record what you give us:

• Your name, email address, phone number and date of birth.
• Whether your household is part of Crossroads Bible Church — asked once, when you create your account. It changes nothing about training.
• The names, ages and programs of the family members you add.
• An emergency contact for each person who trains.
• The waivers and agreements you sign, with the exact wording you signed and when.
• Attendance — who was checked in to which class.
• Injury notes and belt progression, kept by the coaches.
• Giving and payment records for your household.

If you install the app and allow notifications, we also store a push token — an address for your phone, not its contents.

Why we record it

To run the academy: knowing who is on the mat, who to call if something happens, what has been signed, and where each student is in their training. Nothing is collected for advertising and nothing is sold.

Whether you attend the chapel is recorded because the academy is the chapel’s and it likes to know its own. It decides nothing — not what you are asked to give, not which classes you can join, and not how anyone is treated on the mat.

The public pages of this website use Google Analytics, which tells us how many people visit and which pages they read. It is not used on the pages you reach from a link we emailed you, and not once you are signed in — nothing about your account, your family or your training is sent to it. There is no analytics or tracking of any kind in the app.

Who else touches it

The records live in a database hosted by Supabase. Email is sent through Resend. Card payments are handled entirely by Stripe — we never see or store card numbers; Stripe tells us only that a payment happened. Push notifications are delivered through Expo. Google Analytics sees visits to our public pages and nothing else. Each of these processes data only on our instructions.

Cookies

Two, and neither is for advertising. One keeps you signed in, without which every page would ask for your password again. The other belongs to Google Analytics and counts visits to our public pages — it is not set behind the sign-in, and not on the pages you reach from a link we emailed you.

Children

Accounts are held by adults. A child on the roster is added and managed by their parent or guardian, and what we hold about a child is what their guardian gave us: name, age, program, attendance, and any waiver their guardian signed for them.

How long we keep it

Operational records — attendance, signed waivers, giving statements — are kept while the academy is required to keep them, including after someone stops training, because waivers and donation receipts have legal lives of their own.

Deleting your account

You can delete your account yourself, at any time, from the Account screen — on the website or in the app. Deleting the account removes your sign-in, your account details and your phone’s push registration immediately. Signed waivers, attendance and giving records are retained as academy records, as above.
