What we record

When you create an account or register someone for a class, we record what you give us:

• Your name, email address, phone number and age.
• The names, ages and programs of the family members you add.
• An emergency contact for each person who trains.
• The waivers and agreements you sign, with the exact wording you signed and when.
• Attendance — who was checked in to which class.
• Injury notes and belt progression, kept by the coaches.
• Giving and payment records for your household.

If you install the app and allow notifications, we also store a push token — an address for your phone, not its contents.

Why we record it

To run the academy: knowing who is on the mat, who to call if something happens, what has been signed, and where each student is in their training. Nothing is collected for advertising, nothing is sold, and there is no analytics or tracking of any kind on this site or in the app.

Who else touches it

The records live in a database hosted by Supabase. Email is sent through Resend. Card payments are handled entirely by Stripe — we never see or store card numbers; Stripe tells us only that a payment happened. Push notifications are delivered through Expo. Each of these processes data only on our instructions.

Children

Accounts are held by adults. A child on the roster is added and managed by their parent or guardian, and what we hold about a child is what their guardian gave us: name, age, program, attendance, and any waiver their guardian signed for them.

How long we keep it

Operational records — attendance, signed waivers, giving statements — are kept while the academy is required to keep them, including after someone stops training, because waivers and donation receipts have legal lives of their own.

Deleting your account

You can delete your account yourself, at any time, from the Account screen — on the website or in the app. Deleting the account removes your sign-in, your account details and your phone’s push registration immediately. Signed waivers, attendance and giving records are retained as academy records, as above.
